Graphics for Mandalay Bay Convention Center events

Mandalay Bay's convention center mixes a big expo floor with ballrooms and meeting rooms, and many events use all three. Unlike the LVCC and Venetian Expo, it hasn't published a venue-wide rulebook for clings that we could find, so your show's exhibitor manual is the document to read. Here is what we know, what to ask, and how we print for it from our shop on W Reno Ave.

The short version

At the LVCC and Venetian Expo, the venues publish exactly who may install a cling and where. At Mandalay Bay, the rules reach you through your show: its exhibitor manual, its general contractor and Mandalay Bay Exhibitor Services. Until you have those answers in writing, design graphics that stand on their own — on your booth walls, counters, banner stands and signs — rather than on the building.

We print to whatever spec your show gives you. If your show allows clings on walls, glass or floors, it will tell you the material and who applies them; send us that with your file.

Expo halls, ballrooms and meeting rooms

The main exhibit floor is the six Bayside Exhibition Halls, A to F, on Level 1 of the South Convention Center, under 30-foot ceilings. Level 2 holds the Shoreline Exhibit Hall, the Mandalay Bay Ballroom and the Oceanside Ballroom; Level 3 adds the South Seas Ballroom, and the North Convention Center holds more ballrooms.

Many events here run an expo in Bayside, general sessions in a ballroom and private briefings or receptions upstairs, so graphics often move between spaces. Pieces that travel well — banners on stands, rigid signs on easels, removable wall graphics on your own panels — save reprinting for each room. If a sponsor wall goes up in a ballroom for one night, low-tack or removable vinyl on a freestanding wall is usually simpler than anything on the building.

Show rules in the Bayside halls: the Shoptalk example

Shows set booth rules well below the 30-foot ceiling. Shoptalk Spring, which uses the Bayside halls, publishes a typical set: back walls of 8 feet for 10 × 10 to 10 × 30 booths, shared side walls no higher than 4 feet, a 16-foot maximum for islands of 20 × 20 or larger, hanging signs only over booths of 400 square feet or more, and an 18-foot maximum to the top of any hanging sign, with no exceptions.

Its FAQ also shows how rigging splits here: Freeman, the show's general contractor, rigs non-electrical hanging signs under 200 pounds, and signs that are heavier or carry electrical go through Mandalay Bay Exhibitor Services. Hanging signs must ship ahead to the Freeman warehouse. Other shows will differ; treat this as the pattern to confirm, not the rule for your show.

For graphics, that means sizing wall graphics to your show's wall heights, and getting hanging sign graphics finished in time for the warehouse deadline, not the move-in date.

Freight, contractors and hand carry

At Shoptalk Spring, material handling — moving freight from the docks to your booth — is provided exclusively by Freeman, and no other vendor can be used for it. Exhibitor-appointed contractors must be registered through the show and are allowed into the exhibit halls during move-in and move-out only. Hand carry means small items, packages or cartons, that an exhibitor can carry, with no motorized device or pallet jack, through the main entrance.

So graphics for a Bayside booth travel the way the rest of your freight does: to the show contractor's advance warehouse, or direct at your target time, with the contractor's labels. We can deliver to the warehouse labelled for your booth, or you can collect from our shop and carry small pieces in yourself within the show's hand-carry rules.

What to ask before you print

Because the venue's own graphics rules aren't published, these are the questions to put to your show manager or general contractor in writing:

  • May anything adhere to the building's walls, columns, glass or floors — and in the ballrooms as well as the expo hall?
  • If clings are allowed, what material is approved, and who installs and removes them?
  • Are floor graphics allowed inside booths, and on carpet or only on hard floors?
  • Who may apply graphics inside a booth: our own staff, an exhibitor-appointed contractor, or show labor?
  • Do banners, fabric or signs need flame-retardant certificates?
  • When must hanging signs and other graphics reach the advance warehouse?

Printed close by

Of the big convention venues, Mandalay Bay is the nearest to our shop at 4545 W Reno Ave in the southwest valley. Being close doesn't change the rules — trucks still check in where the show's contractor says, and the contractor still unloads at the dock. What it changes is that a reprint or a late change doesn't have to cross the country to reach you.

Every vinyl floor graphic we print for a hard floor carries an anti-slip laminate, carpet takes a carpet graphic film, and big floor pieces butt together instead of overlapping, so there's no trip edge. See floor graphics, banners and event graphics for what we make for multi-room events. For booth building at Mandalay Bay, see Innovate 3D's Mandalay Bay exhibitor guide.

Questions we get

Do you print graphics for Mandalay Bay events in Las Vegas?

Yes. We print wall, window and floor graphics, banners and signs at our shop at 4545 W Reno Ave — the nearest of the big convention venues to us — and deliver them to your show's contractor for move-in, printed to the spec your show gives you.

Who installs graphics at Mandalay Bay?

It depends on your show. Its exhibitor manual says who may work in your booth — your own staff, a registered exhibitor-appointed contractor or show labor — and whether anything may be applied to the building. We haven't found a venue-wide rule, so get the answer from your show in writing.

Can graphics go in the ballrooms at Mandalay Bay?

Usually, on your own stands, walls and signs; whether anything may stick to ballroom walls or carpet is for your show and the venue to approve. Banners on stands, rigid signs and removable vinyl on freestanding walls move easily between the expo hall and ballrooms.

Which shows use Mandalay Bay?

Among others: Shoptalk Spring (March 22–24, 2027), Licensing Expo (May 25–27, 2027), Cosmoprof North America (July 13–15, 2027), Black Hat USA (July 31 to August 5, 2027) and IMEX America (September 28–30, 2027), per their organizers.

How do hanging signs get rigged at Mandalay Bay?

Through your show. At Shoptalk Spring, Freeman rigs non-electrical signs under 200 pounds and Mandalay Bay Exhibitor Services handles heavier or electrical signs; hanging signs must ship ahead to the Freeman warehouse. Check your own show's manual for its split and deadline.

Can you deliver graphics to Mandalay Bay?

We deliver to your show contractor's advance warehouse, labelled for your booth, or you can collect from our shop. At shows like Shoptalk, the contractor handles all material handling at the venue, so graphics arrive the same way as the rest of your freight.
